MATERIALS CLERK (2 YEAR FIXED TERM CONTRACT)

BASIC FUNCTION OF THE POSITION:

The Materials Clerk will be responsible for providing clerical and administrative support for materials management activities, including the accurate recording, filing, and tracking of material movements, stock levels, and documentation to ensure smooth and efficient warehouse and inventory operations.

MAJOR DUTIES AND RESPONSIBILITIES:

Your key accountabilities include:

• Recording the receipt and issuance of materials, tools, and equipment in inventory systems.
• Maintaining accurate and up-to-date bin cards, stock ledgers, and system transactions.
• Filing delivery notes, GRNs (Goods Received Notes), issue vouchers, and requisition forms systematically.
• Assisting in data entry for stock movements, cycle counts, and physical stocktakes.
• Supporting the reconciliation of physical stock with system records and report variances.
• Liaising with warehouse staff, procurement, and end-users to confirm material requests and deliveries.
• Assisting in labelling, tagging, and codification of materials as per stock procedures.
• Monitoring low stock levels and notify the Material’s Coordinator for replenishment.
• Ensuring material records are audit-ready and support document control processes.

MINIMUM QUALIFICATIONS, COMPETENCIES AND EXPERIENCE REQUIRED FOR EFFECTIVE PERFORMANCE:

• BGCSE.
• Certificate in Stores Management, Logistics, Supply Chain, or related field
• Basic SHE and First Aid training is an added advantage
• Computer literacy or inventory, stores, ERP or materials-management training would be advantageous.
• Minimum of 3 years’ experience in stores, warehousing, or clerical support in a logistics or industrial environment.
• Experience using stock or ERP systems is preferred
• Mining or construction materials exposure is an added advantage
